Members of Woolamai Beach SLSC,

Please find below an update from the Board of Woolamai Beach SLSC following our meeting on 4th November 2020. Please remember that is it not possible to provide all notes and information due to the sensitive nature of some discussions. This document provides a snapshot.

Quinn Dickinson and Louise Smith attended on behalf of the Woolamai Beach SLSC Sustainability Committee to provide an update to the Board on the Committee’s work and goals for this season.

Quinn and Louise detailed the below:

  • Presented update on Sustainability Committee progress.

  • Discussed goals, progress this year, and vision for Woolamai Beach SLSC’s environmental impact

  • Focuses on gas, water, and electricity usage and waste generation.

    • Including contacts at Local Council, PINP, and within the Club

 

Board Reports presented by Board Members:

President (Mark Bain):

  • COVID update

    • LSV COVID-19 meetings now fortnightly and presidents only

    • COVID Safe Plan submitted to LSV for approval

    • Sub-committee meeting weekly

  • PINP relationship and update

    • Met with Stafford, Thommo and Ben (PINP) at the club to discuss and agree sand management works to occur before start of patrol season

  • 2019/2020 Season Presentation night

    • Date to be confirmed however progress is strong on getting the event organised

Vice Presidents (Stafford Smith and Max Eldridge):

Stafford Smith:

  • PINP

    • Meeting on 28th Oct outlined works to be completed prior to commencement of the season.

    • The plan has been approved, funding available, workforce engaged and they have access to the machinery to commence.

    • Significant sand will be removed on the Northwestern edge of the clubhouse

    • Sand to be relocated to the beach to help re-establish dunes

    • Drainage plan modified to suit car park levels.

    • Drainage outside the main entrance and public toilets will be improved. Issues with asphalt path from the car park being the Club’s responsibility. A quote to concrete that the eastern side is being sought.

    • Re-establishing dune in front of the car park viewing area will be undertaken along with improving our access path to the beach.

    • The club will need to help with keeping members and the public out of dunes and general sand shoveling over the season.

    • PINP intends to have a better maintenance plan for sand management over summer.

  • SUSTAINABILITY GROUP

    • Oct Minutes located on their Facebook page

    • Thanks to Group leaders for presenting their plan for the upcoming season

    • Will help PINP with the planting of grasses for vegetating dunes

    • Will collaborate with PINP on Beach Clean-up days.

  • CLUB CHAMPS

    • Looking to the Board for a decision on if we cancel our Club Champs for this season.

    • Decision made to postpone Club Champs to a later date in the season until more is known about Covid-19 Response/Allowances

  • UPWEY PARTNERSHIP.

    • Upwey staff fourth application for TOC’s denied by LSV

    • Swim training continues but not as a group.

    • Regulations still ban school camps. Still uncertain how Upwey Bronze program will be delivered, but we intend to explore every possibility.

  • MALLACOOTA CARAVAN

    • Mallacoota Caravan was delivered on Saturday 31st October. Mallacoota SLSC was very appreciative and grateful.

    • Would like to acknowledge Jayco Gippsland, Minderoo Foundation, Peachwood Co, Professional Floor Services, Shopfitting and Building Services, Ocean Reach Constructions, JHL Civil, Glen Dimplex Australia, Formac, LivCor, Bunnings Wonthaggi, LSV and Woolamai Beach SLSC construction and organisation team

Max Eldridge:

  • Judicial Committee

    • Final Report to be tabled for the Board and asked them for their consideration with the intention of sending this out to the membership in the coming weeks

    • Thank you to the review group for their amazing work and support

  • Long Service Awards

    • Been working extensively with Troy Ross to nominate a large group of individuals in both categories for recognition.

    • Now working on what shall be ‘awarded’ to these individuals to recognize their contribution

  • RWC update

    • Close to releasing Roster, working with LSV. Sighted the draft Roster

    • MOU was sent through from LSV on 4th November. Considering this before sending back

  • Special Events

    • Hoping for final decision asap

    • Board agreed to speak with Ron Nicholson and Mick Sullivan (Through Max) to settle what is to be done. The intention is to submit applications, but with the severe understanding that any possibility of risk, needs to be strongly considered

    • Insurance does not cover Covid-19 risk. Directors would be personally liable if something went wrong

 

Director of Finance and Administration/Secretary (Adrian Koller):

  • The Director outlined the financial position of the club and the major account movements in the last couple of months

  • The Director revisited with the Board and sought approval for the following:

    • Managers, who are given permission by a Director and cannot speak to a Director before doing so- have approval of $200 expenditure

    • Directors have approval of up to $500 expenditure

    • Two Directors (deciding together, if not able to consult Board in an emergency) have a $1000 approval limit

    • Any expenditure over $1000 must come to the Board

Director of Life Saving Services/Club Captain (Josh Cottier):

  • Patrols:

    Roster to be released in the coming days. Things to note:

    • Rostered times: 1 hour either side of patrol time.

    • Version 1 of the Patrol Roster will cover November, December & January Patrols.

    • Version 1: Sundays & Public Holidays between Boxing Day & Australia Day rostered times will read TBC as we are currently in discussions with Lifesaving Victoria regarding times for these days.

    • Patrols will be singular days (I.e. Watermen on Saturday, Islanders on Sunday) rather than one patrol carrying out a whole weekend of patrolling, this is due to the bunkrooms being unavailable. See below for more info re bunkrooms.

    • Additional versions of the Patrol Roster will be released at a later date with finalised peak season Sunday and Public Holiday times and February onwards roster.

    • Looking to cap patrol numbers at 25 actually present for patrol.

  • LSS Team Managers:

  • New PC & VPC’s:

    • Mighty Ducks: PC: Grace Saxon, with VPC: Quinn Dickinson

    • Islanders: Nick Reynolds & Dani Gisler

    • Applications being current being reviewed to appoint additional VPC’s.

  • New Gear & Equipment Officers:

    • Supporting Campbell & Terry as the existing officers:

    • Belle Taurian & James Henderson (equip), Lizzie Beekman (radio), John Mclachlan (IRB), Hugo Richter (IRB).

  • Gear Inspection:

    • Sunday 15th Nov: Campbell coordinating. In good shape.

 

Director of Facilities/Assets (Darrell Clark):

  • Not much progress able from the last report, due to Covid situation

  • Air Conditioners in Training Room, Tower and Bar area should hopefully be installed in a coming couple of weeks

  • Trying to contact Kane Worthy and enlisting the support of Mark Donaldson re essential maintenance for Smiths Beach Tower. They were unable to do this during Covid. However, now we must press for quicker action

Director of Member Development (Brendan Smart):

  • Grants Update

    • Community Shade Grants Program - Unfortunately, these grants aren’t due to

    • announce successful recipients for about another 4-6 weeks. As soon as I hear anything I’ll let you know.

    • $330K+ Grant - Hopefully end of this week

    • VESEP – Submitted

    • Community Safety Infrastructure Grants application - Unsuccessful

  • Training and Assessing Update

    • Surf Rescue Certificate (SRC)

    • A Surf Rescue Certificate (SRC) Update will be provided during the week commencing 9th November. In the meantime please express interest here: https://www.woolamaibeach.org.au/src-course

  • Requalification/Skills Maintenance

    • A Requalification/Skills Maintenance Update will be provided during the week commencing 9th November. 

    • At this stage, the Requalification/Skills Maintenance at Woolamai will be limited to 12 regional/local Members per session. Metro Melbourne Members should register for a metro Melbourne Requalification/Skills Maintenance session at the following link: https://mt.lsv.com.au/login/. 

    Note: Sessions are limited. Members should check the above link on a regular basis for new sessions.

  • New Courses/Awards

    • At this stage, no New Courses/Awards will be offered at Woolamai during season 2020/21. Members wishing to complete New Courses/Awards should register for New Courses/Awards at the following link: https://mt.lsv.com.au/login/

  • Bronze Camp Update

 

Director of Competition (Jeremy Goodger):

  • Due to personal circumstances, the Director was unable to attend the meeting

 

Director of Communications (Riley Fyffe):

  • Picked up merchandise samples from FCW.

  • Created click and collect online payment system for future merchandise orders.

  • Reached out to the sustainability committee for biodegradable packaging.

  • Spoken to Nippers! and Fi Blackmore regarding merchandise order recommendations for the upcoming season. Aim to have decision paper for merchandise spending by 10/11/2020 (same as last year).

  • Completed transfer of emailing list from MailChimp to Squarespace. Included email clean which removed non-active email addresses. Saves us $70 per month.

  • Launched new Bass Coast Series Website

  • Emailed Bass Coast Series Update

  • Imported 2019/20 Surfguard mailing list to SquareSpace. Makes it easier to run email campaigns to our members. Better than Surfguard, easier to manage and provides our subscribers with an opt-out button.

  • Emailed Bronze Camp Update

  • Published member profiles

  • Created Canva teams for COVID safe committee. COVID flyers created

  • Nippers! registration form modified for registration.

Director of Nippers (Charles Tuchtan):

  • Nippers Committee meeting met 20Sept 2020

  • LSV COVIDSafe Nipper Program Guide released 21Sept 2020

  • LSV’s M&LD Council Meeting met 22 October attended by Kathryn O’Keefe, Michelle Murphy & Charles Tuchtan

  • LSV’s M&LD Pre-season Nippers Briefing 29 Oct 2020 attended by Kathryn O’Keefe & Charles Tuchtan

Director of Leadership Development (Hannah Tzimokas):

  • Due to personal circumstances, the Director was unable to attend the meeting

 

Decision Papers presented to the Board:

  • A decision paper was presented to the Board regarding a Life Saving Services pre-approved expenditure budget of $5000 for incidental items

    • The Director of Life Saving Services will work with Vice President (ME) and Director Finance and Admin to refine and answer Board questions before re-present
